Personnel Requisition Request Process

Overview

This procedure applies to the review and approval of existing vacant Professional (Administrative and Academic) and Classified positions prior to selection and hiring. Letter of Appointment and Student Employee hires please visit the Hiring Notification page.

Objectives

The objectives of this procedure are as follows:

  1. Ensure that strong budgetary controls are in place for budgeted positions.
  2. Provide for process that records and reports vacant positions and use of attrition or salary savings.

Definitions

Administrative: Full-time exempt position that requires the performance of work directly related to the management of the educational and general activities of the institution, department or subdivision. This position exercises discretion and independent judgment and generally directs the work of others. This position requires advanced learning and experience acquired by prolonged formal instruction and/or specialized work experience.

Temporary – issued a contract for a period of up to one year and placed at the minimum of the salary grade.

Academic: Full-time exempt position that has responsibilities directly related to instruction and curriculum development. This position is tenure eligible or non-tenure track.

Temporary – issued a contract for a period of up to one year and placed at the minimum of the salary grade.

Classified: Non-exempt position that requires the performance of work directly related to the support of the institution, department or subdivision.

Temporary – no temporary options are available; contact HR.


Steps

  1. The requestor must first consult with Human Resources (HR). HR provides appropriate guidance on the selection and hiring process.
    • If any changes are being made to the existing position a memo will be required to justify and explain the requested changes.
  2. The requestor submits the Personnel Requisition Request online.
    • This sends official notification to HR.
  3. HR will prepare the Personnel Requisition form to obtain approval.
    • HR sends the form to the Budget and Planning Office for review.
    • HR will obtain all necessary signatures for approval.
    • All Personnel Requisition Requests are considered pending until Leadership is received.
  4. HR will take the Personnel Requisition form to Leadership for final approval.
    • An FYI is provided to Presidents Cabinet as well.
  5. If approved by Leadership, HR will work with the department to begin the search to fill the existing vacant position.
