Mail Services/Shipping and Receiving
Central services receives, processes and delivers all college mail daily on the Dandini campus. Mail services, located in the Red Mountain Building, room 228, is open 9 a.m. to 3 p.m., Monday through Friday.
Mail Processing Policies and Procedures
All mail, packages and freight deliveries are received and distributed through the TMCC mailroom. Mail and small parcels are delivered once daily to each of the designated mail stops on the Dandini Campus. Mail picked up on one day will be delivered with the next days' delivery. All incoming mail must be addressed to an individual's attention. If there is no address, mail will be opened to determine to whom it belongs. Correspondents should use full names and departments on the address label. All furniture orders must be pre-approved through facilities.
- Pick up and delivery by USPS, UPS and freight companies.
- Campus mail is picked up at 1 p.m. for the Dandini Campus. Internal mail picked up from one run will be delivered during the next run.
- There will be one daily mail delivery for other college sites on Tuesday and Thursday.
- No personal incoming mail is accepted. Personal outgoing can be paid for with a check made payable to the board of regents.
- Outgoing mail requiring postage must include department billing code to be processed and should be typed, not handwritten.
- All outgoing manila envelopes must be sealed.
- Inter-campus mail addresses must include name and mail stop and be banded together by mail stop.
- Outgoing packages should be taped, addressed and placed under the mail bag for pick up.
- If mail is undeliverable, central services will return it to the sender with the next scheduled mail delivery.
All mail processing expenses will be charged back to the account codes of the departments. A monthly transfer of funds will be made to central services.
Types of Mail
- Internal Mail
All internal campus mail must be inserted into inter-office envelopes and be properly addressed using addressee's full name, full name of the department and mail stop. Failure to properly address internal mail may result in delivery delays.
- Certified Mail/Return Receipt
Certified mail provides a record of mail delivery. Mail of this type should be clearly marked as needing special processing. All required return cards should be completed by sender prior to depositing into outgoing mail bags. The receiver of mail signs a receipt card which is returned to the sender. Certified mail can be used only with priority and first class mail and should be used for items which have no dollar value because there is no insurance feature.
- Courier Service
The mailroom and UNR BCN chancellor's office deliver correspondence and packages (at no charge) between the NSHE system offices and other state offices in the area. Films, books and packages addressed to a state office and/or agency may be left on the floor under the mail bag.
- External Mail
External (off-campus) mailing envelopes (standard, business or manila type) must include the return address and the department name and account code number from which it has been generated.
- Foreign Mail
All foreign mail must be have a rubber band around it and the name of the country highlighted.
- Pre-stamped Mail
Pre-stamped business or personal mail will be sent out with the metered mail, but should not be banded with mail requiring postage.
Mail can be personally delivered to the grey central services drop box, located in the hallway outside RDMT 227, each day prior to 12:30 p.m. for same-day delivery to the post office. Mail that has missed the US postal pick up and must go out that day can be taken to the mailroom for metering before 3 p.m. Mail must then be taken by the individual to the post office or to a mailbox that will pick up mail the same day for which the mail has been metered. Occasionally, the US Postal Service delivers incoming campus mail too late to be sorted before the 1 p.m. delivery. Any late mail will be delivered the following day.
The loading dock area, open from 9 a.m. - 3 p.m., serves as a central receiving and shipping area for the college. All packages received at the loading dock via UPS, parcel post, courier service, local companies and freight lines are delivered to the individual departments through the mail system or special delivery. Special arrangements must be made by the ordering department prior to the arrival of merchandise or furniture, or for any type of equipment requiring special installation or set up.
Every possible attempt is made to deliver all incoming shipments within a 24-hour time frame in which the packages are received at the college. This does not include items that need to be inventoried before leaving the receiving area. Faster delivery is assured if the vendor has a name and department on the address line of the shipment.
Shipment Return Procedures
If a department wishes to return a package or shipment to the vendor, the following instructions should be followed:
- Notify the company that merchandise is to be returned and make arrangements for the article to be picked up from the loading dock area of the Red Mountain Building. If you are expecting the company or vendor to pay return postage, you must ask that they request a CALL TAG from UPS. UPS will not accept a parcel without an order from the designated company.
- The item must be packaged for return shipment and possess a return label. It should include: company name, street address, city, state, zip code and name of the individual (if necessary) to whom it should be directly shipped.
