Auto Insurance

Insurance coverage, accident procedures and forms related to TMCC-owned vehicles, personal/privately owned vehicles, and rented vehicles are listed at BCN Risk Management's website.

Due to safety concerns, 15-passenger van rentals are excluded from Nevada state rental contracts and TMCC faculty and staff may not rent 15-passenger vans from any vendor.  For more information, please see the State of Nevada Department of Administration Purchasing Division Vehicle Rental.

Employee Work-Related Injury

If the matter involves a TMCC employee's work-related injury, please notify the TMCC Public Safety and Police Department. Related forms and procedures are posted on BCN Risk Management's website.

If there is an emergency, please call 911.

Field Trips

Field trip information including insurance related to accidents and travel are listed at BCN Risk Management's website.

Activity Waivers are posted online and should be completed when applicable.

Food Trucks

Food trucks are very popular but require some additional advance steps to be approved for an event.

  1. Schedule: Required procedures and forms for scheduling College, non-College and student events (including those involving food trucks) at all TMCC sites are posted on the Scheduling Office website.
  2. Approval: Approval from Chartwells must be obtained. Please contact the Auxiliary Services Manager to coordinate this step.
  3. Proof of Insurance: To be allowed on TMCC’s property, the food truck vendor must provide appropriate proof of auto liability, general liability, and worker’s compensation insurance.
    • Food trucks pose special event risks including but not limited to auto accidents, fire from food preparation equipment, food poisoning, and slip and fall accidents from spilled food while customers wait in line. Insurance requirements are set by BCN Risk Management and are posted online.
    • Please contact the Contracts and Risk Management Analyst to determine whether the appropriate documentation is on file. Insurance documents have expiration dates and may have been previously approved for a "one-time only" event. Do not assume insurance documents are still valid, even if a vendor has been to TMCC previously. 
    • Departments should plan on collecting the required insurance documents at least three weeks before the event.
    • If a vendor does not have the approved documents on file with the TMCC Contracts and Risk Management Analysttwo business days before the event, they will not be allowed on TMCC property.

Foreign Travel

With the exception of Canada and countries with State Department travel restrictions, TMCC employees traveling on TMCC business are provided with travel insurance free of charge as indicated on BCN Risk Management's website. Employees should review this information and obtain an insurance card when the foreign travel request is approved and before embarking on the trip. Login information and an insurance card are available from the TMCC Contracts and Risk Management Analyst.

Inventory Changes

Reporting of inventory changes due to accidents, theft and other losses must be coordinated through the Auxiliary Services Inventory Manager. Procedures and forms are posted online.

Scheduling Office Forms and Procedures

Required procedures and forms for scheduling college, non-college and student events at TMCC are posted at the Scheduling Office website.

Speaker Contracts and Insurance Requirements

In addition to the Scheduling Office forms and procedures, contracts and additional insurance documentation may be required for the event. For example, if TMCC is paying for a speaker, a contract will be required, as well as insurance-related documentation. Guest Speaker and Independent Contractor forms contain detailed instructions.

Student Accidents, Liability Insurance and Student Groups

Procedures regarding student accidents, liability insurance, student groups and related forms are listed at BCN Risk Management's website. TMCC does not provide student health insurance, but students may purchase optional health insurance. Contact the Admissions and Records office for more information.

Volunteers Back to Top

Any TMCC department utilizing volunteers must follow the BCN Risk Management policies and procedures regarding volunteers.

Per those procedures, a completed Volunteer Agreement form (BCN/NSHE Terms of Employment for Volunteer/Adjunct/Clinical Faculty) is required for volunteers who perform a volunteer assignment for 3 days or less, and for most board members.

Volunteers who provide more extensive volunteer assistance must complete a BCN Volunteer Packet.

The completed packets, forms and agreements must be submitted to the TMCC Contracts and Risk Management Analyst before the volunteer begins his/her assignment.

If the volunteer will be required to access a TMCC network account and/or access a secure TMCC computer program please inform the TMCC Contracts and Risk Management Analyst.
